DIOCESE OF TUCSON CATHOLIC CEMETERIES JOB DESCRIPTION Job Title: Administrative Assistant I Status: [full/part time] Exemption Status: Non-exempt Salary Grade: 23 Department/Location : Diocese of Tucson Catholic Cemeteries Primary Function: Under the supervision of the business manager or designated manager, the Administrative Assistant I is tasked with delivering clerical and administrative assistance while executing various essential functions within a Cemetery setting. The individual is expected to embody the principles of the Gospel and Catholic teachings in both professional and personal conduct, as stated, "...Live in a manner worthy of the call you have received." (Eph. 4:1) The core responsibility of the Administrative Assistant is to support the accounting division, monitor customer service inquiries and resolutions, and manage general office operations to ensure that all departments receive the necessary assistance to achieve their objectives. Essential Duties and Responsibilities: Uphold and promote the distinct Catholic Mission of the Diocese by communicating, acting, and educating in alignment with the doctrines of the Roman Catholic Church. The employee must not advocate any beliefs that contradict the teachings of the Church. Demonstrate Gospel values through active participation in a faith community and acknowledge the significance of a personal faith journey; aim to exemplify the teachings of Jesus through attitude and conduct. Engage in activities that support the Catholic Cemetery's Mission. Collaborate positively and professionally with all staff and individuals served. Assist with Human Resources and Payroll functions by adhering to all policies, procedures, and maintaining necessary documentation. Provide fundamental accounting assistance, including invoice coding, data entry, and processing customer payments. Develop and maintain documents and files that cater to the administrative requirements of cemetery operations. Ensure confidentiality of all transactions and information related to cemetery records. Record, monitor, and confirm the resolution of escalated customer service inquiries. Organize meetings as needed; aid in the planning and execution of Cemetery Community events. Procure office and kitchen supplies as required. Participate in special events hosted at the cemetery, such as Memorial Day Mass, All Souls Day Mass, Advent Mass, and others as scheduled. Responsibilities for special events will vary and will be assigned by management prior to the event. Execute other tasks as directed by Management. Physical / Mental Requirements: Requires coordination and manual dexterity, normal mental and visual ability; capability to lift as necessary in a standard office environment. Exposure to outdoor conditions. Required Activities: Walking, sitting, standing, stooping, reaching, talking, hearing, carrying, and keyboarding. Must endure exposure to extreme temperatures when tasks necessitate being on cemetery grounds. Basic Qualifications: Strong attention to detail and organizational skills. Ability to handle multiple tasks simultaneously and work with urgency. Exceptional follow-up skills are essential. Excellent communication skills, both written and verbal. Ability to maintain confidentiality regarding records and services. Project management skills with the capacity to manage multiple projects concurrently. Capability to work with minimal supervision. Professional demeanor, appearance, and attire are required. Education and Experience: High School Diploma. 3-5 years of experience in administrative roles, including task tracking, basic bookkeeping, and customer service. Proficiency in Microsoft Office, including Outlook, Word, and Excel. Familiarity with various management system software platforms is a plus. Other Skills and Abilities: Bilingual (Spanish, English) preferred. Covenants of Employment: The Cemeteries is a Roman Catholic religious organization, and all employees are expected to respect and conduct themselves in accordance with the values, teachings, and morals of the Roman Catholic Church and by applicable state law. Under the "Zero Tolerance Policy," no individual will be knowingly assigned or retained to serve in the Cemetery if they have engaged in the abuse of a minor or violated boundaries in dealing with minors.
