Job Overview:

POSITION SUMMARY:
The Event Planning Specialist plays a crucial role in supporting the sales team by managing essential administrative tasks that ensure smooth operations. This position is vital for delivering exceptional service and hospitality. The Event Planning Specialist is tasked with assisting the sales team through various administrative responsibilities and confirming event details. Furthermore, this role involves engaging in the sales process and contributing to the booking of social events.

KEY QUALIFICATIONS FOR AN EXCEPTIONAL EVENT PLANNING SPECIALIST:

• You exhibit a friendly demeanor and maintain a positive attitude.

• You possess strong decision-making abilities and can effectively communicate with clients, the Sales Team, and Management.

• You maintain clear and consistent communication with Operations, the Sales Team, and clients.

• You can articulate client needs to Operations and other team members.

• You demonstrate excellent organizational skills.

• You have strong verbal communication skills.

• You can analyze basic data to assist Operations and the Sales Team in decision-making.

• You are proficient in reading and communicating in English.

PRIMARY RESPONSIBILITIES:

• Strive to exceed the expectations of each Special Events Guest, ensuring all requests from hosts are communicated and contracts are updated accordingly.

• Handle requests for proposals (RFPs) and inquiries for social events, converting them into confirmed bookings.

• Conduct site tours as necessary.

• Ensure timely and accurate distribution of all documentation for events, collaborating with the management team to ensure proper staffing.

• Provide administrative support to the Sales Department, including follow-ups on calls, emails, and tasks with Event Hosts after a sale is confirmed, and communicate any changes to BEOs or updated contracts to Operations.

• Follow up on accounts receivable, gather payment information, and finalize any outstanding balances.

• Submit requests for checks and invoices as required.

• Ensure Operations has the latest BEO for each event.

• Present upsell opportunities to Event Hosts after the sale is confirmed.

As part of your role, you are expected to take ownership of your responsibilities, which includes all tasks listed above, along with any additional duties as assigned. If you identify a need, address it; if you have a suggestion, share it; if you notice a team member in need of assistance, offer your help.

Compensation:
  • Hourly wage ranges from 10.25 to 18.75
