Job Summary

We are seeking a highly organized and detail-oriented Front Desk Patient Registrar to join our team at the Connecticut Institute for Communities, Inc. in one of its New Milford School-Based Health Center sites.

Key Responsibilities
  • Greet patients in a cheerful and professional manner, ensuring a relaxing and productive experience.
  • Answer phone calls in a polite and courteous manner, screening incoming calls and taking appropriate messages.
  • Screen phone calls to determine the appropriate scheduling of appointments and allocate necessary time.
  • Accurately schedule follow-up appointments, diagnostic testing, and referrals to other providers.
  • Reconcile the day's schedule with encounter forms collected, ensuring all necessary documents are accounted for.
  • Provide exceptional customer service to patients, registering, scheduling, and assisting with health insurance and billing questions.
  • Work with patients to ensure accurate and complete demographic and insurance information is entered into the computer database and medical record.
  • Collect required identification and financial documents, along with necessary signatures.
  • Exhibit service excellence behaviors, creating a compassionate and caring experience for every patient.
  • Stay up-to-date with knowledge of state and federal programs for medical coverage, required documents, self-pay guidelines, outside resources, referral options, and services outside of the Connecticut Institute for Communities, Inc.
  • Process and track DSS/Husky applications as needed.
  • Fulfill specific quantifiable performance goals established by the Practice Administrator in consultation with the Billing & Operations Manager and the employee.
  • Utilize the student schedule portal (Powerschool) to schedule patients during timeslots that minimize disruption to academic learning.
  • Follow up with students in case of missed appointments (no-shows).
  • Enter patient email for portal access.
  • Facilitate the transfer of records.
  • Distribute HIPAA and office policies.
  • Enter demographic information based on facility and reporting requirements.
  • Ensure patients receive a printout of their visit summary.
  • Perform clerical duties, including making copies, faxing, scanning, and sorting daily mail.
  • Perform all other related duties as assigned.
  • Current (annual) TB screening is required for all employees.
Requirements
  • High School Diploma or equivalent required.
  • Significant administrative experience, medical office, and/or Medical Assistant experience preferred.
  • Computer user skills required, including familiarity with Electronic Medical Record systems and Microsoft Office (Word, Excel, Teams).
