Job Overview

Quality Machine & Fab is in search of a meticulous and proactive Procurement Support Specialist to enhance our procurement team. The ideal candidate will possess experience with JobBOSS and will play a crucial role in our operational success.

Position Overview: The Procurement Support Specialist will assist the procurement department in overseeing purchase orders, managing supplier interactions, and maintaining optimal inventory levels. This position demands exceptional organizational abilities, a keen eye for detail, and familiarity with JobBOSS database software. The successful applicant will ensure that materials and supplies are acquired efficiently and economically to fulfill production requirements.

Key Duties:

  • Management of Purchase Orders:
    • Generate, review, and process purchase orders utilizing JobBOSS software.
    • Track and monitor purchase orders to guarantee timely arrival of materials.
    • Keep precise and current records of purchase orders, deliveries, and invoices.
  • Supplier Engagement:
    • Engage with suppliers to gather quotes, negotiate pricing, and confirm delivery timelines.
    • Establish and nurture strong relationships with key suppliers to ensure consistent quality and service.
    • Resolve any issues or discrepancies with suppliers concerning orders, deliveries, and invoices.
  • Inventory Management:
    • Assist in overseeing inventory levels to ensure sufficient stock of materials and supplies.
    • Collaborate with production and warehouse teams to manage inventory and reduce shortages or excesses.
    • Conduct regular inventory checks and reconcile any discrepancies.
  • Data Management and Reporting:
    • Leverage JobBOSS to input, update, and retrieve procurement data.
    • Generate and analyze reports related to purchasing activities, inventory levels, and supplier performance.
    • Provide administrative support to the procurement team, including filing, record-keeping, and document management.

Qualifications:

  • High school diploma or equivalent; an associate's or bachelor's degree in business, supply chain management, or a related field is preferred.
  • A minimum of 2 years of experience in a purchasing or procurement role, ideally within the manufacturing sector.
  • Proficiency in JobBOSS software is essential.
  • Strong organizational and time management skills with the ability to prioritize tasks effectively.
  • Detail-oriented with a high degree of accuracy in data entry and record-keeping.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to work independently as well as collaboratively in a team environment.
