The Sales Coordinator plays a vital role in our organization, delivering essential administrative and logistical assistance to the sales department.


Key Responsibilities:

Administrative Assistance:
Provide thorough administrative support to the sales team, which includes drafting correspondence, reports, proposals, and contracts.
Maintain well-organized and current files of all sales-related documentation.
Oversee the calendar for the Sales Manager/Director, arranging meetings, appointments, and travel logistics.

Client Engagement:


Support the management and cultivation of client relationships by addressing inquiries, supplying information, and resolving issues promptly.

Coordinate client visits, site inspections, and familiarization trips, ensuring all arrangements are meticulously organized and communicated.

Sales Assistance:
Help in the preparation and distribution of sales presentations, proposals, and marketing materials.
Monitor and report on sales metrics, including lead generation, conversion rates, and revenue objectives.
Input and manage data in sales management systems to ensure accurate and current client information.

Marketing Collaboration:


Collaborate closely with the sales and marketing teams to develop and implement promotional initiatives, including email campaigns and advertising.

Assist in updating and maintaining the hotel's sales and marketing materials.

Financial Duties:
Assist in the preparation and oversight of sales forecasts and reports.
Manage invoicing, billing, and payment follow-ups in conjunction with the finance department.

Communication:
Act as a liaison between the sales team and other hotel departments to ensure effective communication and collaboration.
Prepare and distribute internal sales reports, meeting notes, and other necessary communications.

Qualifications:

Education:
High School Diploma or equivalent

Experience:
Minimum of 1-2 years in a sales or administrative support role, preferably within the hospitality sector.

Skills:
Familiarity with property management systems. Strong organizational and time-management skills.
Excellent communication and interpersonal abilities.
Proficiency in Microsoft Office Suite and familiarity with sales management software.
Detail-oriented with the capability to manage multiple tasks simultaneously.
Able to work independently and collaboratively within a team.

Working Conditions:


The Sales Coordinator may be required to work flexible hours, including evenings, weekends, and holidays, based on business needs.

This position involves prolonged periods of sitting, working on a computer, and occasionally lifting materials up to 20 pounds.
