POSITION SUMMARY
Greenpeace USA (GPUS) is in search of a skilled Senior Grants Manager to collaborate with our Institutional Partnerships and Program Teams. This role is pivotal in enhancing our foundation fundraising and program strategies through subgrants and contracts with various organizations, while also developing systems that align with the Greenpeace operational framework.

The Senior Grants Manager plays a crucial role within the Institutional Partnerships Team in GPUS's Development Department. This position requires close collaboration with the IP Team, Programs, Finance, and Legal Teams to ensure that all agreements are accurately formulated, compliance with terms and conditions is maintained, and that all grants and sub-grants are meticulously documented and executed. Additionally, the Senior Grants Manager will support Program and Finance personnel with contract management and budgeting related to foundation grants.

This role entails creating grant budgets, revenue forecasts, and key performance indicators for the Institutional Partnerships Team. The Senior Grants Manager will also analyze opportunities and challenges to enhance the efficiency and effectiveness of foundation fundraising efforts. Furthermore, this position will work directly with the Development and Programs Operations teams to establish consistent practices for documenting donor relationships, interactions, grants, and sub-grants within our Customer Relationship Management system (CRM). The role also involves developing and implementing policies and procedures for grants management to monitor revenue and data effectively.

KEY RESPONSIBILITIES

Grants Management:

  • Reviewing all grant proposals and collaborating with Program and Development staff to ensure compliance with guidelines and regulations.
  • Providing technical support in drafting and processing proposals, contracts, subgrants, and grants.
  • Assembling proposal budgets in partnership with fundraising, legal, and finance teams.
  • Monitoring grant budgets to ensure alignment with financial practices.
  • Acting as the primary contact for clarifying or negotiating administrative and financial requirements in proposals and agreements.
  • Collaborating with the Legal Team to review and amend grant agreements as necessary.
  • Coordinating with Greenpeace International and global offices to ensure proper structuring and documentation of grants.
  • Working on the development and implementation of evaluation strategies to assess the impact of grant-funded programs.
  • Maintaining tracking and administrative processes to assist program staff in managing agreements and ensuring timely submissions of deliverables.
  • Keeping Program Staff informed about the status of grants and contracts, including deadlines and expiration dates.
  • Ensuring timely receipt and application of grant payments.

Development of a Grants Management System:

  • Leading the development of new processes and practices in collaboration with Development Operations, Program Operations, Finance, and Legal Teams.

Sub-Granting and Grant Making Responsibilities:

  • Documenting and tracking compliance with selection criteria for grantees and subgrantees.
  • Creating guidelines, application forms, budget templates, and reporting templates.
  • Conducting due diligence on potential grantees and sub-grantees.
  • Preparing sub-grant agreements that outline project scope, budget, deliverables, and compliance obligations.
  • Monitoring sub-grantee compliance with terms of the sub-grant agreement.
  • Ensuring all final reports and financial statements are received and reviewed.
  • Confirming appropriate expenditure of funds and formally closing out sub-grant agreements.

Record Keeping and Compliance:

  • Maintaining organized records related to grant activities, including documentation of communications and reports.
  • Processing incoming grants in collaboration with Legal and updating relevant systems.
  • Monitoring compliance with grant requirements and reporting deadlines.
  • Reconciling financial information and resolving discrepancies.
  • Identifying risks associated with grant-funded projects and developing mitigation strategies.
  • Staying informed about best practices in grant management.

Budgeting and Analysis:

  • Developing and managing budgets for grants and contracts, including financial forecasting.
  • Coordinating with finance departments for accurate financial reporting.
  • Monitoring and analyzing expenditures to ensure appropriate use of funds.

ROLE REQUIREMENTS

Knowledge and Experience:

  • At least 5 years of substantial experience in grant management with a proven success record.
  • A minimum of 2 years in sub-granting and grants administration.
  • Demonstrated leadership in developing and implementing grant management processes.
  • Experience in ensuring compliance with grant guidelines and deadlines.
  • Background in large or international organizations, particularly in environmental advocacy.
  • Familiarity with fundraising within 501(c)(4) frameworks.
  • Proficiency in budget development and financial management.
  • In-depth knowledge of grant writing, compliance, and reporting processes.
  • Understanding of the nonprofit sector's unique challenges and opportunities.
  • Proficiency in relevant software for grant management and budgeting.
  • Knowledge of grant compliance regulations.

The anticipated salary for this role is within the range of $92,000 - $105,800, commensurate with experience and qualifications.
