Federal Grants Administration Specialist - Hybrid Schedule

Key Responsibilities:

  1. Comprehensive Federal & Non-Federal Grants and Contracts Management: Oversee the entire lifecycle of grants and contracts, including:
    • Creating budgets for grant proposals.
    • Monitoring and reporting on grant budgets.
    • Facilitating expense reimbursements and cost recovery.
    • Providing access and troubleshooting for federal agency portals.
    • Collaborating with finance teams to develop automated grants management systems.
    • Ensuring compliance with federal regulations and reporting requirements.
    • Training staff on compliance and best practices.
  2. Subrecipient Grants and Contracts Oversight: Manage the lifecycle of subawards for numerous subrecipients, including:
    • Implementing compliance monitoring processes.
    • Leading reimbursement reviews and payment processes.
    • Educating subrecipients on federal guidelines.
    • Developing efficient invoicing and reporting systems.
  3. Procurement and Contract Management: Design and manage procurement processes to support program goals, including:
    • Conducting market analysis and candidate sourcing.
    • Managing requests for proposals and candidate evaluations.
    • Negotiating contract terms and monitoring deliverables.
  4. Budgeting and Financial Analysis: Assist in preparing and monitoring budgets, including:
    • Creating annual revenue and expense budgets.
    • Participating in mid-year budget reviews.
    • Analyzing budget vs. actual reports and making recommendations.
  5. Operational Support: Provide operational and administrative assistance, including:
    • Supporting audit responses and compliance inquiries.
    • Enhancing the efficiency of financial services.
    • Maintaining accurate records of federal expenditures.
    • Coordinating with finance teams on audits and project support.

Qualifications:

  • Bachelor's or master's degree in accounting, finance, or business administration.
  • A minimum of 5 years of experience in non-profit accounting, including familiarity with audits.
  • 5 years of experience in grants management and compliance.
  • 5 years of experience in procurement and contracts within a shared-services environment.
  • Demonstrated ability to manage complex grants and contracts.
  • Willingness to travel as necessary (less than 10%).
  • Experience and knowledge of the Latino community are preferred.
