Conservation Grants Coordinator

The Conservation Grants Coordinator plays a vital role in advancing the mission of the National Fish and Wildlife Foundation by overseeing the administration of grants and contracts related to conservation initiatives. This position entails managing a varied portfolio of grants, collaborating with grantees and internal teams, and ensuring adherence to organizational policies and federal guidelines. The Coordinator serves as the primary liaison for grantees and contractors, guiding them through the entire grant lifecycle from award notification to project completion.
Key Responsibilities- Act as a representative of the organization, ensuring the effectiveness of our conservation initiatives.
- Serve as the main contact for grantees and contractors throughout the grant lifecycle.
- Collaborate with various internal teams, including program managers, finance, and legal departments, to facilitate a smooth experience for grantees and contractors.
- Work with compliance personnel to conduct fiscal reviews and budget approvals for prospective grantees.
- Collect and evaluate financial documentation, including audits and cost agreements.
- Understand program-specific operations to implement procedures as directed by program leaders.
- Draft grant agreements, contracts, and amendments.
- Review and process payment requests, amendment requests, and financial reports, including expenditure analysis and budget tracking.
- Organize meetings between grantees and internal staff as needed.
- Prepare comprehensive monthly reports on the status of the grant portfolio.
- Generate detailed weekly reports on overdue submissions and compliance issues.
- Ensure all submitted documents comply with organizational requirements.
- Respond to inquiries from grant recipients in a timely manner throughout the project lifecycle.
- Maintain project database records and ensure completeness prior to project closure.
- Effectively manage a high volume of grants in a dynamic environment.
- Stay informed about new organizational policies and federal regulations affecting Grants Administration.
- Utilize the Grants Management System for various workflow tasks, including payment processing and budget reviews.
- Maintain proficiency with relevant systems and tools.
- Perform additional duties as assigned.
- Assist in the development and documentation of Grants Administration policies and procedures.
- Support the collection and input of project data.
- Contribute to system support and usability enhancements for internal and external staff.
- Bachelor's degree required.
- One to two years of relevant experience; customer service experience is preferred.
- Ability to thrive in a fast-paced environment and adapt priorities as necessary.
- Strong organizational and detail-oriented skills.
- Excellent analytical, communication, and interpersonal skills.
- Proficiency in Microsoft Office suite, particularly Word and Excel.
