Position Title: Administrative Coordinator for Mine Maintenance

POSITION OBJECTIVE

The Administrative Coordinator for Mine Maintenance plays a crucial role in supporting the operational efficiency of the Mine Maintenance Department. This position is responsible for a variety of administrative tasks, including organizing documentation, managing supply inventories, processing purchase orders, and facilitating communication with vendors and contractors. The role demands a commitment to safety and compliance with all relevant regulations and standards.

REPORTING STRUCTURE:

Reports directly to the Superintendent of Mine Maintenance.

CROSS-FUNCTIONAL COLLABORATION:

  • Superintendents and Supervisors
  • Maintenance and Operations Teams
  • Corporate Liaison Officers

External Collaboration:

  • Consultants, contractors, and suppliers

DIRECT REPORTS:

No direct reports.

KEY RESPONSIBILITIES:

  • Ensure adherence to safety protocols and guidelines as established by the Pinto Valley Mine and MSHA.
  • Maintain compliance with the Collective Bargaining Agreement as directed by the Human Resources Department.
  • Verify that all personnel and contractors possess the necessary certifications for their designated tasks.
  • Oversee the documentation and filing of quarterly meeting notes and action items for the department.
  • Organize and maintain all relevant forms on digital platforms and physical storage as required.
  • Execute tasks with precision and attention to detail.
  • Work autonomously in a fast-paced environment.
  • Communicate effectively with team members and management.
  • Investigate and resolve issues while ensuring adherence to company policies.
  • Disseminate information, reports, and notices as needed.
  • Manage departmental communication boards and other information-sharing platforms.
  • Provide administrative assistance to the Mine Maintenance Department and collaborate with fellow administrative staff.
  • Ensure accurate timesheet management for payroll processing.
  • Process purchase orders and service entry documentation.
  • Oversee inventory management for tools, personal protective equipment, office supplies, and other necessary items.
  • Establish and maintain a systematic filing system for sensitive documents.
  • Conduct monthly inspections to ensure compliance with safety equipment standards and report any maintenance needs.

  • Fulfill all other assigned duties as required.

QUALIFICATIONS:

Experience:

  • 1-3 years of experience in administrative support roles, preferably within a mining operations or maintenance context.

Essential Skills:

  • Strong communication skills for effective interaction with the Superintendent of Mine Maintenance and their team.
  • Proficient in Microsoft Office Suite, particularly Excel.
  • Familiarity with union environments is advantageous.
  • Understanding of payroll and timekeeping processes.
  • Possession of a valid Arizona Driver's License.
  • Proficient in English, with the ability to read, write, and comprehend.
  • Experience with SAP is preferred but not mandatory.

WORK ENVIRONMENT:

This position is primarily office-based, with 100% of the Administrative Coordinator's time spent in an office setting.
