Position Overview:
In this role, the individual will deliver comprehensive and varied administrative assistance to the leadership and personnel of a designated unit within a project framework. The position will report directly to the Project Manager.
Key Responsibilities:
- Oversee the daily functions of the designated unit on the assigned project.
- Organize meeting agendas, document minutes, and disseminate them to relevant parties.
- Execute complex and specialized administrative tasks for site leadership or unit staff, including drafting and typing correspondence, reports, and creating digital forms and templates. Compile and analyze statistical data.
- Evaluate and propose enhancements to existing operational procedures.
- Establish and maintain intricate electronic and physical filing systems.
- Prepare and coordinate a variety of detailed financial and operational reports.
- Facilitate the collection and presentation of budgetary information.
- Interpret established policies and provide guidance for problem resolution.
- May represent their supervisor in meetings.
Required Qualifications:
- High School diploma or equivalent.
- A minimum of three (3) years of experience in administrative or secretarial roles.
- Exceptional oral and written communication skills.
- Experience in managing administrative tasks within heavy industrial engineering and construction projects.
- Self-motivated, quick to learn, highly efficient, and possess strong business ethics.
- Proficient in standard Microsoft Office applications.
- Able to operate general office equipment, including personal computers, fax machines, and photocopiers.
Compensation and Benefits:
- Hourly wage commensurate with experience.
- Eligibility for benefits commencing on the first day of employment, including medical, dental, vision, and 401K matching.
