Position Overview:

Reporting to the Practice Manager, the Medical Office Coordinator is responsible for managing incoming communications, documenting essential messages related to patient care, and scheduling appointments efficiently. This role involves registering patients promptly, verifying insurance details, and processing payments accurately.

Key Responsibilities:

  • Welcome patients in a friendly and professional manner.
  • Handle incoming calls with care, ensuring messages are recorded and addressed appropriately.
  • Manage patient appointments, ensuring the provider's schedule is up-to-date and accommodating.
  • Verify insurance eligibility and maintain accurate patient records.
  • Update patient demographics with each interaction to ensure accuracy.
  • Facilitate communication between patients and healthcare providers regarding insurance coverage and referrals.
  • Assist in maintaining efficient patient flow and inform patients of any delays.
  • Monitor appointment lists and manage cancellations or rescheduling as necessary.
  • Coordinate internal and external referrals and admissions as required.
  • Maintain office equipment and report any issues to the Practice Manager.
  • Ensure all patient communications are handled with confidentiality and respect.
  • Assist in training new staff members and support colleagues as needed.
  • Demonstrate professionalism and respect for cultural diversity in all interactions.

Qualifications:

  • High School diploma or equivalent is required.
  • Strong interpersonal skills with a focus on patient satisfaction.
  • Proficiency in computer systems and accurate data entry.
  • Previous experience in a medical office setting is preferred.
  • Familiarity with medical terminology and billing processes is advantageous.
  • Ability to multitask and manage time effectively in a fast-paced environment.

Education and Experience:

  • Education: High School diploma or equivalent.
  • Experience: Prior experience in a medical office is preferred.
  • Technical Skills: Familiarity with medical software systems is a plus.
