Administrative Support Specialist

We are seeking a dedicated and proactive Administrative Support Specialist to join our team at Hallway Plumbing, LLC. The successful candidate will exhibit a strong work ethic, professionalism, and the ability to juggle multiple responsibilities in a dynamic office setting.
QualificationsExperience: A minimum of two years in office administration is essential.
Key Skills and CompetenciesThe ideal candidate will possess:
- Exceptional written and verbal communication skills.
- Proficiency in essential software applications including Excel, Word, and Outlook.
- The ability to prioritize tasks effectively while managing multiple responsibilities.
The Administrative Support Specialist will be responsible for:
- Handling incoming calls and directing them to the relevant departments, as well as providing assistance to visitors.
- Managing daily mail collection and distribution.
- Ordering and maintaining office supplies and equipment.
- Submitting maintenance requests for office needs.
- Cross-training with various departments to provide support as necessary.
- Overseeing the internal rewards and recognition program.
- Coordinating birthday and tenure celebrations.
- Gathering content for and producing a quarterly newsletter.
- Planning and organizing corporate events, including holiday parties and team-building activities.
- Assisting management with the preparation of reports, documents, and presentations.
- Supporting the HR manager in the onboarding process and managing application filings.
- Maintaining HR trackers and certifications.
- Coordinating HR activities such as training and health screenings.
The candidate must demonstrate:
- A high level of business acumen and the ability to interact with all organizational levels.
- Advanced skills in Microsoft Office, particularly Excel.
- Strong organizational and time-management capabilities.
- Confidentiality and integrity in handling sensitive information.
- Friendly and professional demeanor, with the ability to relate to diverse individuals.
- Team-oriented mindset with the capacity to manage multiple tasks simultaneously.
The role requires:
- Working in an office environment and utilizing standard office equipment.
- Prolonged periods at a desk to complete daily tasks.
- The ability to lift up to 15 pounds and carry items over short distances.
