Key Responsibilities:

Appointment Management:

  • Organize and oversee appointments for executives and team members.
  • Coordinate and confirm meeting arrangements, ensuring all required resources are prepared and accessible.

Meeting Coordination:

  • Plan and facilitate lunch meetings, including catering logistics.
  • Manage and maintain both physical and digital office files, ensuring they are current and easily retrievable.
  • Assist in the creation of reports, presentations, and other essential documents.

Vendor Management:

  • Process and approve vendor invoices related to office services.
  • Order branded merchandise for office use and ensure timely delivery.

Office Management:

  • Maintain an adequately stocked office supply inventory and ensure a clean, organized workspace.
  • Serve as the primary contact with building management for any maintenance or service requirements related to the office.

Qualifications:

  • Prior experience in an administrative or support role is advantageous.
  • Strong organizational abilities with a meticulous attention to detail.
  • Excellent communication and interpersonal skills.
  • Capability to multitask and prioritize effectively in a dynamic environment.
  • Proficiency in Microsoft Office applications (Outlook, Excel, Word, PowerPoint, etc.).
  • Strong written and verbal communication skills.
  • Ability to manage multiple tasks, organize, and prioritize work efficiently.
