ExecuSource is collaborating with a distinguished energy firm to find a part-time Office Administrator. This role requires a professional who possesses a strong background in administrative functions and is adept at maintaining organization and efficiency in a fast-paced setting.

This position is designed as a long-term contract opportunity.

Key Responsibilities:

Appointment Coordination:

  • Manage and schedule appointments for executives and team members.
  • Ensure meeting logistics are coordinated, confirming that all essential resources are prepared and available.

Meeting Management:

  • Organize and facilitate lunch meetings, including catering logistics.
  • Maintain and organize office files, both physical and digital, ensuring accessibility and accuracy.
  • Assist in the creation of reports, presentations, and other necessary documentation.

Vendor Coordination:

  • Process and approve vendor invoices related to office services.
  • Order branded merchandise for office use and ensure timely delivery.

Office Oversight:

  • Maintain a well-stocked office environment and ensure cleanliness and organization.
  • Act as the primary contact with building management for any maintenance or service requirements related to the office.

Qualifications:

  • Prior experience in an administrative or support role is preferred.
  • Strong organizational abilities with meticulous attention to detail.
  • Excellent communication and interpersonal skills.
  • Capacity to multitask and prioritize effectively in a dynamic environment.
  • Proficiency in Microsoft Office applications (Outlook, Excel, Word, PowerPoint, etc.).
  • Exceptional written and verbal communication skills.
  • Adept at organizing, multitasking, and prioritizing work effectively.
