Human Resources Assistant

Roth Staffing Companies is seeking a highly organized and detail-oriented Human Resources Administrative Assistant to join our team in Irvine, CA.
Job Summary:The Human Resources Administrative Assistant will provide administrative support to the Human Resources department, including filing, scanning, and reviewing documents, as well as maintaining corporate office equipment and supplies. The ideal candidate will have a minimum of 1-2 years of experience in a Human Resources department and be proficient in MS Office suite.
Responsibilities:- Provide administrative support to the Human Resources department, including filing, scanning, and reviewing documents.
- Maintain corporate office equipment and supplies, including copiers and faxes.
- Set up and clean up company functions, such as birthday and associate recognition events.
- Process invoices from third-party HR providers.
- Assist with the pre-employment process, including providing follow-up on missing information or forms.
- Prepare new hire packets and other employee packets as needed.
- Provide backup administration on the onboarding process, including preparing and compiling source documents.
- Assist with creating employment agreements and other related documents.
- Maintain the HR archive system, including active and terminated personnel files.
- Take initiative to interact with department team members and assist with tasks.
- Assist with special projects as assigned, including answering incoming calls and distributing mass mail-outs.
- Provide administrative support to the Human Resources Manager and Director as needed.
- Demonstrated knowledge of general Human Resources practices and principles.
- Basic knowledge of general Human Resources practices and employment law.
- Proficiency in MS Office suite, including Word, Excel, and Outlook.
- Maintain confidentiality of personal and sensitive information.
- High level of reliability and dependability.
- Detail-oriented and able to follow procedures.
- Excellent customer service and communication skills.
- Ability to multi-task in a fast-paced environment.
- High School Diploma or General Educational Development (GED).
- HR Certification preferred, but not required.
- At least 1-2 years' current hands-on experience in a Human Resources department.
