POSITION SUMMARY:
The HR Assistant will play a crucial role in enhancing the operational efficiency of the HR department by providing assistance with daily administrative functions and specific projects as required. This position will also involve supporting attorneys and staff with various administrative inquiries and concerns.
KEY RESPONSIBILITIES:
- Publishing job postings on various career platforms and public job boards.
- Evaluating and filtering incoming applications.
- Engaging with prospective candidates to discuss job roles and responsibilities through various communication methods, including emails and phone interviews.
- Organizing and coordinating interviews with candidates, HR personnel, and hiring managers, which may include arranging travel and accommodation for candidates as needed.
- Conducting background checks and reference verifications when required.
- Maintaining applicant tracking systems and generating reports on recruitment metrics, including the status of job openings and candidate pools.
- Assisting with the onboarding process, which encompasses:
- Drafting and sending offer letters,
- Coordinating with new hires regarding their start date,
- Ensuring completion of all necessary documentation,
- Addressing inquiries related to company policies and procedures,
- Facilitating first-day orientation sessions.
- Updating employee records as necessary.
- Distributing new hire information packets to incoming employees.
- Scanning and uploading new hire questionnaires into the system.
- Creating access fobs for new employees and managing the deactivation and replacement of existing fobs.
- Sending notifications regarding employee departures to relevant administrative teams.
- Performing additional related duties as assigned.
QUALIFICATIONS:
- Full-time availability, Monday through Friday, from 8:00 AM to 5:00 PM.
- Associate's Degree or a minimum of one year of experience in Human Resources or a related field.
- Familiarity with HRIS software is advantageous.
- Proficient in data entry and computer usage.
- Strong skills in Microsoft Office Suite.
- Ability to handle a demanding workload in a fast-paced environment.
- Effective communication skills with colleagues.
