The role of the Patient Financial Access Specialist - Clinical Scheduling is essential in bridging the gap between patients and healthcare providers, ensuring seamless appointment management across various departments.

This position involves close collaboration with patients, physicians, and nursing staff to facilitate the scheduling of appointments, procedures, and surgeries. The specialist is responsible for coordinating operating room schedules, surgeon availability, and necessary equipment for procedures. A strong understanding of scheduling protocols and compliance with pre and post-operative instructions is critical to ensure a smooth patient experience.

Key Responsibilities:

  • 1. Patient Coordination: Gather and verify all necessary information from referring providers to ensure accurate and timely reimbursement for outpatient services.
    • 1.1 Effectively sequence complex procedures across multiple departments.
  • 2. Surgical Scheduling: Oversee and assist with tasks related to surgical appointments.
    • 2.1 Collect and complete booking sheets and consents, ensuring all surgical documentation is accurate prior to scheduling.
  • 3. Software Utilization: Employ various software applications to manage patient scheduling efficiently, maintaining high productivity standards.
    • 3.1 Demonstrate proficiency in the Epic system for scheduling complex appointments.
  • 4. Resource Management: Collaborate with management to provide support across outpatient services, ensuring skillset maintenance.
    • 4.1 Optimize scheduling processes to enhance patient appointment management.
  • 5. Customer Service Excellence: Uphold the standards of professional behavior to ensure a positive experience for patients and visitors.
    • 5.1 Facilitate smooth operations within the department to enhance patient satisfaction.
  • 6. Additional Duties: Perform other responsibilities as assigned by management, including training and updating materials for staff.
    • 6.1 Provide training to team members as needed.

Qualifications:
Education: High school diploma or GED required; Associate degree preferred.
Experience: Two to three years of experience in a customer service role, preferably in a healthcare setting with high call volumes.
Special Skills: Strong organizational and interpersonal skills, ability to multitask, and a basic understanding of medical terminology. Excellent problem-solving abilities and proficiency in various computer systems are essential.
