The Healthcare Administrative Coordinator plays a vital role in managing patient interactions and physician workflows. This position involves welcoming patients and visitors, handling phone inquiries, scheduling appointments, and maintaining patient records. The ideal candidate will possess a solid understanding of medical office front desk operations. Key responsibilities include the following, with the possibility of additional tasks as needed.

Responsibilities

1. Oversee the appointment scheduling system, including modifications and updates. ;Ensure timely communication of schedule adjustments to relevant staff and healthcare providers. 2. Facilitate the smooth operation of the check-in process and front desk to guarantee efficient and cost-effective service delivery. ;Greet patients upon arrival, confirming and collecting all necessary information and signatures in line with established policies. 3. Manage incoming phone calls, assisting callers courteously, taking accurate messages, and directing calls to the appropriate personnel as necessary. ;Maintain professional telephone etiquette when interacting with patients and healthcare teams. 4. Execute pre-authorizations required by insurance providers for upcoming tests and procedures when necessary. ;Monitor incoming referrals to the practice. 5. Maintain electronic and paper medical records in compliance with established policies. 6. Handle daily administrative tasks such as retrieving messages from the answering service, managing voicemail, processing faxes, filing, photocopying, and sorting mail. ;Forward calls to the answering service and inform them of the on-call status of physicians. 7. Collect and reconcile patient co-payments and cash transactions in accordance with established procedures. 8. Collaborate in the development and contribution to team and departmental quality improvement initiatives. ;Participate actively in staff meetings. 9. Employ effective communication methods to interact professionally with individuals of diverse backgrounds and abilities. ;Coordinate efforts to gather patient and family feedback regarding their healthcare experiences through surveys and focus groups, and engage in initiatives to address identified needs. 10. Perform additional tasks as assigned by physicians or management. ;Provide cross-coverage support as required. 11. May assist with chaperoning duties during patient medical procedures as needed. Qualifications

EDUCATION

High School diploma or equivalent is required.

EXPERIENCE

Minimum of 1 year of administrative experience in a healthcare setting or 2 years in a general administrative role is required.

SPECIAL SKILLS

Strong organizational, communication, customer service, and teamwork skills are essential. The ability to manage multiple tasks effectively is crucial. Experience with electronic medical records is preferred, along with proficiency in Microsoft Office applications. A commitment to a patient-centered approach to care is necessary. Demonstrates professional and effective communication, both written and verbal, with patients, families, medical staff, colleagues, vendors, and other departments to promote continuity of care and enhance the clinical image.
