Job Title: Administrative Specialist

Tidewater Property Management is seeking a highly skilled and detail-oriented Administrative Specialist to join our team. As an Administrative Specialist, you will play a vital role in supporting our community association managers and providing exceptional customer service to our homeowners.

Key Responsibilities:
  • Support community association managers in handling daily issues and concerns.
  • Effectively address homeowner concerns and provide timely responses.
  • Manage phone calls, screen messages, and maintain accurate records.
  • Maintain knowledge of key clients and contacts.
  • Assist with bid procurement and vendor management.
  • Resolve homeowner complaints and provide solutions.
  • Interact daily with homeowners and other residents.
  • Assist the board, owners, and community association manager in complying with association and government rules and regulations.
  • Assist in the operation of community pools, golf courses, community centers, etc.
  • Abide by the Management Agreement for each community.
  • Maintain files, reports, and related communications.
  • Research and provide informational materials for projects and special assignments.
  • Maintain calendars, contact databases, and appointments.
  • Set up and arrange meetings, facilities, and accommodations as required.
  • Prepare and edit letters, memos, emails, and reports.
  • Proofread and edit materials to ensure high-quality communications.
Requirements:
  • Strong written and verbal communication skills.
  • Ability to work as part of a team and be a self-starter.
  • Ability to work in a fast-paced environment.
  • Ability to take direction and constructive criticism.
  • Excellent data entry skills.
  • Shows initiative and needs minimal supervision.
  • Proficiency in Microsoft Office applications.
  • Exceptional time management, prioritization, and organizational skills.
  • Must be able to multi-task efficiently and effectively.
  • 2-3 years of experience in the Community Association Industry is preferred but not required.
  • Positive attitude.
  • Customer service-oriented and historical work background in this area.
  • Ability to adapt to management styles from multiple managers.
  • Ability to learn new software applications.

Physical Effort Required:
  • Position experiences interruptions; need for frequent shifting priorities, and deadlines.
  • This position works under usual office conditions.
  • Required to work at a personal computer as well as be on the phone for extended periods of time.
  • Must be able to stand, sit, walk, and occasionally climb for possible extended periods of time.
  • Ability to lift or move up to 25 lbs.
  • May require some travel to various sites.
Salary Description:

$20-$21 per hour
