Job Summary

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at Advanced Heating & Cooling LLC. As an Administrative Assistant, you will provide administrative support to our Service Department, ensuring seamless day-to-day operations and exceptional customer service.

Key Responsibilities
  • Administrative Support: Provide administrative assistance to the Service Department, including organizing paperwork, scheduling appointments, and managing customer inquiries.
  • Accounts Receivable and Payable: Handle accounts receivable (AR) tasks, such as invoicing, processing payments, and reconciling accounts. Support accounts payable (AP) processes, including vendor communications, invoice processing, and payment scheduling.
  • Customer Service: Collaborate with dispatch to enhance productivity, professionalism, and teamwork within the department. Foster a positive company culture by promoting growth and teamwork among team members.
  • Administrative Tasks: Assist management with various administrative tasks, adapting to additional responsibilities as the company expands.
Requirements
  • Residency: Reside within a 25-mile radius of our location.
  • Technical Skills: Proficient in typing with accuracy and efficiency. Ideally possess experience with Deltek or Computer Ease software. Alternatively, experience in the HVAC industry is a plus.
  • Soft Skills: Strong attention to detail and organizational skills. Ability to multitask and prioritize tasks effectively. Excellent communication skills, both written and verbal. Adaptability and willingness to learn new software or industry-specific knowledge as required.
  • Authorization: Must be authorized to work in the US.
