Responsibilities
  • Provide administrative support to executives and manage our office in Boulder.
  • Manage projects of an administrative nature that require extensive confidentiality, discretion, independent judgment, and critical thought.
  • Manage beverages, snacks, and office supplies.
  • Office management to include office operations and procedures, office supplies, shipping and mailing.
  • Manage vendor relationships and coordinate necessary facility repair, maintenance, and improvements.
  • Perform minor IT support duties.
  • Assist with presentation preparation, including misc. document prep or design projects.
  • Run errands (primarily in the Boulder area).
  • Travel coordination (domestic and international).
  • Calendar and schedule management.
  • Prepare BOD meeting material.
  • Provide support with expense report processing.
  • Review and approve time sheets and expense reports for the executive team on behalf of the CEO.
  • Organize and coordinate all aspects of onsite and offsite meetings.
Requirements
  • 2+ years of relevant experience (office management, or administrative).
  • Experience scheduling travel arrangements, both domestic and international.
  • Expert skills in Microsoft Office - track changes, document formatting, embedded styles and templates, etc.
  • Comfort and skilled in communicating with a variety of sophisticated constituencies and audiences including staff, executives, and board members.
  • Strong professional writing, editing, and communication skills.
  • Service-oriented with exceptional interpersonal skills.
  • Ability to multitask and re-prioritize quickly, including frequent context switching.
  • Excellent proofreading, editing, and business writing skills.
  • Detail-oriented with excellent time-management skills.
  • Discrete with sensitive and confidential information.
  • Must be able to run company errands as needed.
