About the Role

We are seeking a highly skilled and experienced Executive Assistant to provide top-notch administrative support to our CEO and Senior Management team.

This is a unique opportunity to join a dynamic and growing organization, Career Group, and contribute to the success of our team.

Key Responsibilities
  • Calendar Management: Coordinate and manage complex calendars, scheduling meetings, and prioritizing conflicting demands to ensure the most efficient use of the executive's time.
  • Meeting Preparation: Prepare agendas, materials, and presentations for meetings, ensuring all necessary information is readily available.
  • Travel Arrangements: Arrange all aspects of domestic and international travel, creating detailed itineraries and providing support throughout the traveler's trip.
  • Administrative Support: Provide general administrative support to the executives, including screening phone calls, drafting correspondence, and managing sensitive and confidential information.
  • Relationship Building: Build and maintain positive relationships with clients, partners, and colleagues on behalf of the CEO and Senior Management team.
  • Expense Tracking: Process and track expense reports, adhering to the company's T&E policy best practices.
  • Team Support: Provide administrative back-up to the EA team as needed.
Requirements
  • 5-8 years of Executive Assistant experience, preferably in financial services.
  • Excellent organizational and time management skills, with the ability to multitask and prioritize tasks effectively.
  • Ability to manage sensitive and confidential information with discretion.
  • Advanced proficiency in Microsoft Office Suite, with experience in Concur a plus.
  • Excellent written and verbal communication skills, with the ability to interact with people of all levels in a confident and professional manner.
  • Experience with domestic and international travel planning.
  • Ability to take initiative and exercise judgment in complex and ambiguous situations.
  • Ability to work independently with minimal supervision and as part of a team.
