PHS oversees WholeYouNYC (WYNYC), a comprehensive community resource network that establishes reliable connections between healthcare providers, health plans, and community organizations, delivering essential resources that address the social determinants of health. With over 100 collaborating organizations, WYNYC offers a range of services across all five boroughs, enabling New Yorkers to achieve their healthiest lives and work towards reducing health disparities.
Position Summary:
The Executive Assistant plays a vital role in providing high-level administrative and operational support to the Chief Executive Officer (CEO) of PHS. This position is essential for organizing significant meetings, managing complex administrative projects, and ensuring effective communication with executives, officials, and stakeholders.
Key Responsibilities:
- Manage Communications and Stakeholders:
- Oversee the CEO's calendar, coordinating meetings, appointments, and travel logistics.
- Screen incoming communications, responding independently when appropriate and directing inquiries as necessary.
- Draft and refine correspondence, reports, and presentations on behalf of the CEO.
- Foster and maintain strong relationships with internal and external stakeholders, including high-level executives and community partners.
- Collaborate with the Development & Marketing team to support leadership communication strategies.
- Provide Administrative Support:
- Assist with purchasing, HR, IT, and Finance functions for the CEO and network, utilizing effective operating procedures.
- Manage expense reports, process invoices, and handle other administrative tasks for the CEO.
- Ensure confidentiality of sensitive information.
- Coordinate Projects:
- Support the CEO in managing complex administrative projects and initiatives related to WholeYouNYC, ensuring timely execution aligned with strategic objectives.
- Monitor progress on key initiatives, identify potential challenges, and proactively propose solutions.
- Prepare presentations, reports, and documentation for internal and external stakeholders.
- Perform additional duties as assigned.
Qualifications:
- Bachelor's degree or equivalent experience required.
- A minimum of 5 years of experience providing executive-level administrative support, preferably in a non-profit or healthcare environment.
- Experience working with governing boards or similar committees is highly desirable.

- Exceptional organizational, time management, and project coordination abilities.
- Strong written and verbal communication skills, capable of interacting effectively with individuals at all organizational levels.
