The Client Relations Specialist will be responsible for managing all facets of account servicing, which includes order processing, invoicing, inventory oversight, return processing, logistics coordination, and the administration of daily operations within the Operations Department. This role also involves assisting the Operations Manager with month-end closing responsibilities.
Key Responsibilities:
- Supervise inventory and logistics operations at a regional level, focusing on stock optimization and demand forecasting to ensure proper inventory maintenance through our internal order processing system.
- Strategically plan and manage material requirements and logistics for the branch, developing stock optimization strategies aligned with Doka's objectives.
- Oversee customer account management and the order processing cycle, including order placement, entry, follow-ups, price confirmations, and product inquiries using our proprietary order processing system.
- Engage with customers and sales teams regarding product availability, delivery timelines, order modifications, and status updates through various communication channels in a dynamic environment.
- Effectively manage a high volume of inquiries, ensuring timely resolution of issues and inquiries.
- Communicate promptly about any factors impacting order status.
- Handle pricing, order entry, billing, and credit requests accurately and efficiently.
- Identify and investigate discrepancies within the order processing system, recommending and implementing corrective actions.
- Manage back-order processes, ensuring timely fulfillment of outstanding orders.
- Alert logistics and operations teams about insufficient inventory levels to initiate procurement and equipment transfer processes.
- Review order confirmations to verify accurate billing.
- Consistently provide accurate pricing information for custom items to customers and sales personnel.
- Ensure all services are billed to customers in accordance with contractual terms and purchase orders.
- Perform additional logistics and operational tasks as required.
Additional Duties:
- Carry out other assigned duties or projects, including participation in company committees or teams.
- Maintain safe working practices and uphold a secure working environment.
- Adhere to all corporate policies and business practices.
- Actively participate in facility and equipment management meetings as necessary.
- High school diploma is required; a Bachelor's Degree in Business or Logistics is preferred.
- 2-5 years of relevant experience in administration, operations, or logistics is preferred.
- Experience in inventory management and procurement planning is advantageous.
- Exceptional communication skills, with proficiency in English (speaking, reading, writing).
- Strong analytical abilities, numerical aptitude, technical proficiency, and effective problem-solving skills.
- Proficient in Microsoft Office applications, particularly advanced Excel skills.
- Excellent report writing and presentation capabilities.
- Ability to quickly learn new systems, products, concepts, and techniques.
- Organized team player capable of working independently in a results-oriented, fast-paced environment.
