Position Overview

The Customer Service Representative is tasked with managing all facets of account servicing. This includes, but is not limited to, processing orders and invoices, overseeing inventory management, handling returns, coordinating logistics for branch offices and equipment, and supporting the daily operations of the Operations Department. This role also involves assisting the Operations Manager with month-end closing activities.

Key Responsibilities:

  • Supervise all elements of inventory and logistics at a regional level, ensuring optimal stock levels through effective tracking and monitoring via the internal order processing system.
  • Strategically plan and manage material demands and logistics processes for the branch, aligning stock optimization strategies with Doka's overarching goals.
  • Oversee customer account management and the order process, which includes order placement, entry, follow-ups, price confirmations, and product inquiries using the internal order processing system.
  • Engage with customers and sales personnel regarding product availability, delivery timelines, order cancellations, and status updates through various communication channels in a dynamic environment.
  • Efficiently manage a high volume of inquiries, addressing issues and providing timely resolutions.
  • Communicate promptly about any issues impacting order status.
  • Accurately process pricing, order entries, billing, and credit requests in a timely manner.
  • Identify and investigate discrepancies within the order processing system, proposing solutions and implementing corrective actions as necessary.
  • Oversee the back-order process, ensuring timely fulfillment of back orders.
  • Monitor inventory levels and notify logistics/operations teams to initiate procurement and equipment transfer processes when necessary.
  • Review order confirmations to ensure accurate billing.
  • Provide accurate pricing quotes for custom items to both customers and sales personnel.
  • Ensure all services are billed to customers in accordance with contractual terms and purchase orders.
  • Perform additional logistics and operations tasks as required.

Additional Duties:

  • Carry out other assigned projects or duties, including participation in company committees or teams.
  • Promote safe working practices and maintain a secure working environment.
  • Adhere to all corporate policies and business practices.
  • Actively engage in facility and equipment management meetings as needed.
Qualifications

  • High school diploma is required; a Bachelor's Degree in Business or Logistics is preferred.
  • 2-5 years of relevant experience in administration, operations, or logistics is preferred.
  • Experience in inventory control and procurement planning is advantageous.
  • Excellent communication skills, with proficiency in English (speaking, reading, writing).
  • Strong analytical abilities with a solid numerical aptitude, technical skills, and effective problem-solving capabilities.
  • Proficient in Microsoft Office applications, particularly advanced Excel skills.
  • Exceptional report writing and presentation skills.
  • Ability to quickly learn new computer systems, products, concepts, and techniques.
  • Organized team player capable of working independently in a results-oriented, fast-paced environment.
