Position Overview

The Client Relations Specialist will be responsible for managing all facets of account servicing, which encompasses order processing, invoicing, inventory oversight, return processing, logistics for branch offices and equipment, as well as the administration of daily operations within the Operations Department. This includes assisting the Operations Manager with month-end closing responsibilities.

Key Responsibilities:

  • Supervise inventory and logistics operations at a regional level, focusing on stock optimization and demand forecasting to ensure adequate inventory levels through diligent tracking and monitoring with the in-house order processing system.
  • Strategically plan and manage material requirements and logistics for the branch, developing stock optimization strategies aligned with Doka's overarching goals.
  • Oversee customer account management and the order process, including order placement, entry, follow-up, price verification, and product inquiries utilizing an internal order processing system.
  • Engage with customers and sales personnel regarding product availability, delivery timelines, order modifications, and status updates through various communication channels in a dynamic environment.
  • Effectively manage a high volume of inquiries, addressing customer needs and resolving issues promptly.
  • Communicate any factors impacting order status in a timely manner.
  • Handle pricing, order entry, billing, and credit requests accurately and efficiently.
  • Identify and investigate discrepancies within the order processing system, recommending and implementing corrective actions as necessary.
  • Oversee the back-order process, ensuring timely fulfillment of back orders.
  • Monitor inventory levels and alert logistics/operations personnel to initiate procurement and equipment transfer processes as needed.
  • Review order confirmations to ensure accurate billing.
  • Provide accurate pricing information for custom items to both customers and sales representatives.
  • Ensure all services are billed to customers in accordance with contractual terms and purchase orders.
  • Perform additional logistics and operations tasks as required.

Additional Duties:

  • Execute other assigned duties/projects, including participation in company committees and teams.
  • Promote safe working practices and maintain a secure working environment.
  • Adhere to all corporate policies and business practices.
  • Actively engage in facility and equipment management meetings as required.

Qualifications

  • High school diploma is mandatory; a Bachelor's Degree in Business or Logistics is preferred.
  • 2-5 years of relevant experience in administration, operations, or logistics is advantageous.
  • Experience in inventory management and procurement planning is preferred.
  • Exceptional communication skills, with proficiency in English (speaking, reading, writing).
  • Strong analytical abilities with a solid numerical aptitude, technical proficiency, and effective problem-solving skills.
  • Proficient in Microsoft Office applications, particularly advanced Excel skills.
  • Excellent report writing and presentation capabilities.
  • Ability to quickly learn new computer systems, products, concepts, and techniques.
  • Organized team player capable of working independently in a results-oriented, fast-paced environment.
