Brokerage Operations Support Specialist

As a vital part of our team, the Operations Support Specialist plays a crucial role in delivering operational assistance to our logistics and customer service teams. This entry-level position is designed for individuals eager to engage in the logistics sector, focusing on providing timely and effective responses to inquiries, managing data entry tasks, and adhering to established operational protocols to resolve issues.

Key Responsibilities:

  • Acquire knowledge about the non-asset intermodal operations and their impact on freight movement.
  • Understand the geographical layout of the United States in relation to transportation logistics.
  • Familiarize yourself with various transportation modes, including Full Truckload, LTL, and Intermodal.
  • Gain proficiency in NFI's Transportation Management Systems (TMS), including load entry, tracking, and dispatching.

Data Management:

  • Input orders into the system in accordance with customer operational guidelines.
  • Conduct carrier vetting and facilitate the onboarding of new carrier partners into the EDGE TMS.
  • Handle Proof of Delivery (POD) requests for accounting and account management purposes.

Verification Processes:

  • Ensure accuracy of shipment details, including purchase order numbers, pickup and delivery information, and special requirements.
  • Address any discrepancies during the verification phase and escalate issues to the appropriate personnel when necessary.

Appointment Management:

  • Schedule pickup and delivery appointments, ensuring accurate entry into the system.
  • Request modifications to appointments following established procedures and keep all relevant parties informed.

Order Tracking:

  • Monitor railroad tracing records during transit and troubleshoot any delays.
  • Communicate with carriers to confirm appointments and update the system accordingly.
  • Assess carrier estimated times of arrival (ETA) for deliveries and notify relevant parties of potential delays.

Additional Duties:

Other responsibilities may be assigned by management, including cross-training with fellow operations representatives to enhance team collaboration.

Qualifications:

  • A high school diploma or GED is required; a college diploma is preferred.
  • Prior experience in logistics or customer service is advantageous.
  • Proficient computer skills, particularly in MS Office applications, are essential.
  • Strong data entry capabilities, customer service orientation, and problem-solving skills are necessary.
  • Excellent communication skills, both verbal and written, are required.
  • Bilingual candidates (English and French) are preferred.
  • Willingness to work flexible hours, including evenings, weekends, and holidays as needed.
