ROLE SUMMARY:
The Logistics Operations Coordinator is responsible for managing daily traffic operations and supporting the Customer Service team. Key responsibilities include processing Delivery Orders and coordinating shipments with carriers to ensure timely delivery, as well as following up to confirm successful pickups and deliveries.
CORE RESPONSIBILITIES:
- Verify the accuracy of bill of lading numbers, piece counts, and container details against arrival notices or bills of lading.
- Ensure shipments are received and available for pickup from designated locations.
- For inland cargo, confirm that containers are en route to their final destinations.
- Update Estimated Time of Arrival (ETA) in the system as necessary, ensuring all relevant screens reflect any changes.
- Obtain and relay pickup numbers to carriers, ensuring acknowledgment.
- Distribute delivery orders to truckers via email.
- Confirm receipt of delivery orders in writing whenever feasible.
- Document details of sent delivery orders in the system.
- Process Pier Pass payments for relevant terminals as required.
- Claim containers for Port Check/Clean Truck when necessary.
- Ensure cargo is removed from terminals or rail yards before the expiration of free days.
- Verify that truckers input delivery dates into our system as required.
- Obtain Proof of Delivery as specified by client requirements.
- Record Proof of Delivery dates in the operations system.
- Monitor daily reports for missing delivery orders and other discrepancies.
- Facilitate customs examinations and manage payment processing.
- Ensure that an approved demurrage guarantee form is obtained from clients.
- Notify Customer Service representatives of any delivery delays to enable timely client communication.
QUALIFICATIONS:
- 2-3 years of relevant experience in logistics or a related field.
- Strong written and verbal communication skills, along with proficiency in statistical analysis, time management, and organizational skills.
- Demonstrated ability to excel in a fast-paced, metrics-driven environment with performance-based goals.
- Team-oriented with excellent interpersonal communication skills.
- Proficient in Microsoft Excel, Word, and Access.
