Client Service Administrator

Position Overview:

The primary objective of this role is to assist our current client base with all service inquiries, including beneficiary modifications, withdrawals, and managing client communications. This includes preparing for client meetings by updating account summaries, supporting the main advisor in their review sessions, and organizing accounts for delivery.

Qualifications:

  • Experience in the Financial or Insurance sector is essential
  • Preferred 3+ years of experience working alongside a Financial Advisor in a fast-paced office
  • Familiarity with MacOS is advantageous, along with the ability to quickly adapt to new software
  • Experience with CRM systems
  • Possession of a Texas Life Insurance License or Series 65 is preferred

Key Responsibilities:

The Client Service Administrator will be responsible for maintaining consistent follow-through on all tasks, fostering relationships with both prospects and clients, and assisting the Advisor in preparing for client meetings. Additional daily, weekly, and monthly responsibilities may include:

  • Answering incoming client service calls with a welcoming demeanor
  • Addressing each service request and resolving client concerns
  • Completing and processing new business applications, following up on pending matters, and updating clients
  • Managing new business submissions and tracking in reporting tools
  • Ordering and organizing new business applications and marketing materials
  • Updating and reviewing the database/CRM to reflect account statuses
  • Maintaining an organized, compliant, and efficient filing system
  • Processing all applications for business submitted by the Advisor
  • Preparing client review summaries for upcoming meetings
  • Ensuring professional communication with clients and team members
  • Assisting with client updates, reports, and mailings
  • Supporting Advisors with educational workshops and client events as necessary
  • Coordinating client appointments and assisting Advisors with pre-appointment preparations
  • Maintaining current licenses and appointments with relevant agencies

Compensation:

  • Annual salary range of $45,000 - $60,000, commensurate with experience
