Job Summary:
The Administrative Assistant I is responsible for providing basic administrative support to a department, team, or executive.

This position involves performing routine clerical and administrative functions such as answering phones, managing files, scheduling appointments, and coordinating meetings.

The Administrative Assistant I ensures smooth office operations by efficiently handling day-to-day tasks and maintaining a professional environment.

Key Responsibilities:

Clerical Support:
Perform general clerical duties including copying, faxing, mailing, and filing

Communication:
Answer and direct phone calls, take messages, and respond to inquiries in a professional manner

Scheduling:
Assist in scheduling appointments, meetings, and events maintain calendars and coordinate conference rooms

Documentation:
Prepare and edit correspondence, reports, memos, and emails ensure documents are accurate and properly formatted

Data Entry:
Input data into spreadsheets, databases, or other software maintain records and files, ensuring they are up-to-date and easily accessible

Customer Service:
Greet and assist visitors, ensuring a positive experience handle basic inquiries and provide information about the organization

Supply Management:
Monitor and order office supplies as needed maintain inventory and ensure the office is well-stocked

Meeting Coordination:
Prepare meeting materials, take minutes, and distribute them to participants as necessary

Other Duties:
Perform additional administrative tasks as assigned by supervisors or managers

Qualifications:

Education:
High school diploma or equivalent some college coursework or an associate s degree is a plus

Experience:
Previous experience in an administrative or office role

Skills:
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Strong verbal and written communication skills. Excellent organizational and time-management abilities. Ability to handle multiple tasks simultaneously. Attention to detail and accuracy in work. Professional demeanor and strong customer service orientation.
