Position Overview

Congregation Ahavath Chesed is seeking a dedicated Clergy Executive Assistant to provide essential administrative support to our spiritual leaders. This role encompasses a variety of responsibilities aimed at enhancing the operational efficiency of our congregation.

Key Responsibilities

Clergy Support:

  • Assist the rabbis with daily operations, including:
    • Managing schedules for significant life events such as births, B'nai Mitzvah, weddings, and memorial services.
    • Coordinating lessons and meetings with congregants and conversion candidates.
    • Welcoming members and guests, ensuring they are guided to their appointments.
    • Sending weekly Yahrzeit notifications to families in mourning.
    • Updating the Membership Database with relevant information.
    • Organizing greeters and announcements for Shabbat services.
  • Preparation of Materials:
    • Compile weekly worship resources, including:
      • Mi Shebeirach (healing) list
      • Yahrzeit list
    • Prepare invitations and information for special services such as Marriage Reconsecration and Confirmation.
  • Member Interaction:
    • Handle communications and requests directed to the rabbis.
    • Provide support during significant moments in members' lives.
    • Answer phone calls and greet visitors as necessary.
    • Assist in organizing holiday celebrations and special events.
    • Collaborate with committees and board members.
  • Lifelong Learning Support:
    • Manage calendars and resources for Adult Learning classes.
    • Order and prepare materials for clergy-led educational sessions.
    • Facilitate communication with families involved in B'nei Mitzvah, weddings, and conversions.

General Support:

  • Respond to inquiries from staff, lay leaders, members, and vendors.
  • Oversee the Temple calendar and ensure all events are scheduled appropriately.
  • Document minutes from Board and Congregational meetings and distribute them as needed.
  • Provide prospective members with information about Temple services.
  • Encourage the use of Temple facilities by members and external parties.
  • Assist with cemetery management and related tasks.
Required Qualifications
  • Proven experience in administrative roles, particularly in a supportive capacity.
  • Organizational Skills: Ability to manage multiple calendars and appointments effectively.
  • Communication Skills: Strong written and verbal communication abilities for interaction with various stakeholders.
  • Attention to Detail: Precision in document preparation and scheduling.
  • Time Management: Skill in prioritizing tasks and meeting deadlines.
