Key Responsibilities:

The Business Support Specialist plays a crucial role in executing standardized business support processes that adhere to organizational policies and regulatory compliance. Reporting to the Regional Business Administration Manager, your daily tasks will include:
  • Assisting the Regional Business Operations Manager in the development and implementation of standardized business support processes.
  • Entering timesheet data into the Time Entry system and managing payroll overrides as necessary.
  • Tracking and maintaining records of vacation, sick leave, and floating holiday usage.
  • Reviewing the Kronos Exception Report weekly to rectify errors before submission.
  • Maintaining electronic storage of timesheets on the Area Shared Drive.
  • Setting up prevailing wage rates for service requests and projects in the PWS system.
  • Submitting Certified Payroll Reports and Statements of Compliance to clients and filing them in the designated compliance portal.
  • Managing Accounts Payable invoice queues and coordinating with relevant teams for timely processing.
  • Conducting invoice research and responding to supplier inquiries.
  • Facilitating new supplier setups and managing updates as needed.
  • Maintaining office supplies and handling incoming communications.
  • Performing additional tasks as assigned by the Regional Business Administration Manager.

Qualifications:

Required:
  • High School Diploma
  • Exceptional attention to detail and strong organizational abilities.
  • Proficiency in Microsoft Excel and Word.
  • Able to manage multiple tasks in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • Strong problem-solving capabilities and research skills.

Preferred:
  • 3-5 years of experience in the construction sector.
  • Associate degree or equivalent combination of education and experience.
  • 2+ years of experience with prevailing wage regulations in Washington state.
