Job Summary

We are seeking a highly organized and customer-focused Move-In Coordinator to join our team. As a key member of our sales team, you will play a critical role in ensuring a seamless transition for new residents and their families.

Responsibilities
  • Coordinate the move-in process for new residents, serving as a liaison between residents, families, community associates, and third-party vendors.
  • Provide administrative support to the sales team, including data entry, document preparation, and communication with residents and families.
  • Work closely with the Business Office Manager to ensure timely and accurate processing of deposits, entrance fees, and other financial transactions.
  • Maintain accurate records in the Yardi lead base system, ensuring up-to-date information and compliance with company policies.
  • Prepare sales materials, including brochures and move-in guides, and ensure collateral materials are up-to-date and readily available.
  • Participate in marketing events to promote the Brightview brand and drive traffic to the community.
  • Provide exceptional customer service, responding to inquiries and conducting personal visits as needed.
  • Make follow-up calls to prospective residents to maintain contact and support their decision-making process.
  • Ensure model apartments are well-maintained and ready to show at all times.
  • Participate in and attend all required training and education programs.
Requirements
  • Minimum of two years of administrative or customer service experience in a fast-paced environment.
  • Advanced skills in MS Office products, including Excel, Word, PowerPoint, and Outlook.
  • Strong organizational skills, with the ability to prioritize and handle multiple assignments simultaneously.
  • Excellent written and verbal communication skills, with the ability to connect with a diverse range of individuals and groups.
  • Exceptional attention to detail and accuracy in a fast-paced environment.
