Role Responsibilities:
- Provide timely and professional communication with clients, colleagues, correspondents, and jurisdiction employees.
- Utilize systems to create transactions and distribute various components of orders to team members or state/county offices for processing.
- Prepare client proposals, including fee structures and expected turnaround times.
- Access public record databases to obtain publicly recorded documents and conduct research on filed documents.
- Review, prepare, and submit filings while adhering to relevant rules and regulations.
- Maintain comprehensive records throughout transactions to ensure accuracy in results and invoicing.
- Secure and maintain a Financial Crimes Enforcement Network (FinCEN) identification number.
- Submit Beneficial Ownership Information Reports to FinCEN.
Candidate Profile:
- Industry Experience: Proven expertise in processing orders related to corporate public record filings.
- Preferred Background: Familiarity with nationwide corporate public record filings.
- Organizational Skills: Ability to manage multiple tasks and prioritize effectively, with a keen attention to detail and a sense of urgency.
- Communication Skills: Strong verbal and written communication abilities, engaging professionally and amicably with clients and colleagues. Previous customer service experience is advantageous.
- Adaptability: Willingness to embrace new tools and learn processes in a dynamic, fast-paced environment, coupled with strong problem-solving skills.
- Coachable Attitude: Openness to receiving and implementing training and instructions, with a proactive approach to seeking clarification when needed.
- Positive Demeanor: A courteous and polite approach to customer service, especially in challenging situations.
- Team Orientation: Ability to work effectively both independently and within a team, providing support to peers while managing individual responsibilities.
- Reliability: Commitment to working during standard business hours, punctuality, and maintaining client confidentiality.
- Technical Proficiency: Comfortable using Microsoft Office applications (Outlook, Word, Excel) and interacting with Adobe PDF documents.
- Office Environment: Ability to remain stationary for a significant portion of the workday.
