About the Role:

We are seeking a dynamic and enthusiastic Guest Services Agent to join our team at one of our upscale apartment communities. The ideal candidate will possess exceptional client service abilities and a positive demeanor. This role is essential in delivering front desk services to residents and guests while managing various administrative tasks and resolving conflicts as they arise.

Key Responsibilities:

  • Welcome guests upon arrival, ensuring a warm and inviting atmosphere through outstanding customer service.
  • Manage the check-in and check-out processes efficiently.
  • Handle the delivery of mail, messages, and packages.
  • Facilitate communication and coordination with Resident Services, Leasing, Maintenance, and Management teams.
  • Provide guests with valuable information regarding transportation and dining options.
  • Address and resolve conflicts or tense situations involving residents, prospects, and guests.
  • Perform various administrative tasks as required.
  • Assist in coordinating resident move-ins and move-outs in collaboration with Leasing and Resident Services.
  • Manage elevator reservations for residents during moves and deliveries.
  • Respond promptly to phone calls and emails from residents and guests.
  • Promote our Onni Rewards program and keep residents informed.
  • Ensure the cleanliness and maintenance of amenity spaces through regular property inspections.
  • Oversee the service of coffee machines and supplies in resident lounges.
  • Refer residents to various services such as housekeeping and dog walking.
  • Assist with package handling, auditing, dry cleaning, and perishable arrangements.
  • Act as a liaison between guests and the hotel, aiding with arrivals, departures, and key management.
  • Support residents with bookings for friends and family.
  • Collaborate with the team to plan and organize resident events.
  • Communicate upcoming events effectively between departments.

Qualifications:

  • High School Diploma required.
  • Preferred: College coursework in Hospitality Management or a related field.
  • Proficient in MS Project, MS Outlook, MS Word, MS Excel, and MS Windows.
  • Strong commitment to exceeding customer service expectations, particularly in luxury service environments.
  • Excellent verbal and written communication skills.
  • Able to thrive in a fast-paced environment with strong interpersonal skills.
  • Professional, team-oriented, and possess a strong work ethic.
  • Outstanding organizational and time management abilities.
  • Detail-oriented with the capacity to manage multiple tasks simultaneously.
