Reports to: Suites & Loge Box Manager

Role Overview

The Event Suites Coordinator is tasked with managing a diverse range of responsibilities, including staffing, event preparation, operational oversight during events, and post-event reporting and payroll management. A key aspect of this role is to act as a liaison for team members and support the introduction and execution of innovative practices and policies across operations. The coordinator will monitor staff performance, ensure compliance with safety and sanitation standards, and strive to deliver an exceptional experience for our guests. The work schedule will vary based on the event calendar.

Key Responsibilities
  • Schedule and assign shifts for staff based on event requirements.
  • Ensure adequate staffing levels by collaborating with temporary labor providers as necessary.
  • Manage payroll processes, including timekeeping and gratuity reporting.
  • Assist in the procurement of event materials and maintain updated information on suite offerings.
  • Direct inquiries to the appropriate departments or personnel.
  • Organize and maintain records of all events, including concerts, sports, and other activities.
  • Create and update food and beverage documentation, including inventory and menu specifications.
  • Maintain comprehensive knowledge of menu items and suite presentation standards.
  • Collaborate with culinary teams to ensure quality production and menu accuracy.
  • Conduct pre-event briefings with staff.
  • Inspect suites to ensure a welcoming atmosphere and high-quality presentation for guests.
  • Build professional relationships with colleagues across departments.
  • Facilitate communication regarding special requests and changes in service.
  • Prepare and distribute relevant event information to supervisors and staff.
  • Ensure cleanliness and proper disposal of food and beverage items post-event.
  • Oversee closing procedures, including inventory management and securing the venue.
  • Support the premium operations team as needed.
  • Communicate effectively within the food and beverage department and with corporate partners.
  • Assist in the implementation of responsible alcohol service and food safety practices.
  • Familiarize yourself with the venue layout to assist guests effectively.
  • Support other food and beverage departments as required.
  • Perform additional tasks as assigned by management.

Supervisory Role

Oversees the suites and loge box team members and professional staff within the department.

Physical Requirements

This role requires frequent use of office equipment and regular movement throughout the venue during events. The coordinator must communicate effectively with team members and guests, often while standing or walking for extended periods. The ability to lift and move items up to 50 pounds is necessary, and occasional lifting of heavier items may be required. The work environment may include elevated noise levels and varying lighting conditions.

Additional Qualifications
  • Must be at least 21 years old.
  • Minimum of two years of supervisory or management experience in food and beverage, preferably in a hospitality setting.
  • Proficient in Microsoft Office Suite.
  • Excellent interpersonal and communication skills.
  • Ability to manage multiple tasks effectively.
  • Strong attention to detail and customer service orientation.
  • Exceptional organizational skills.
  • Ability to work irregular hours, including nights, weekends, and holidays.
  • Comfortable working in varying temperature conditions.
