Position Title: Educational Program Coordinator

Status: Full-time, Exempt

Standard Hours: 40 hours/week; occasional evening and weekend hours; some flexibility with remote work when feasible

Location: Various community sites

Reports To: Manager of Educational Programs

Assigned To: Educational Programs Department

Starting Salary: $43,000, with potential increases based on relevant experience

Position Summary:
The Educational Program Coordinator plays a crucial role in guiding students through the process of aspiring to, preparing for, and enrolling in postsecondary education. This is achieved by coordinating a range of programs associated with federally funded initiatives while ensuring compliance with reporting requirements. Services are delivered through workshops, group sessions, individual consultations, and afterschool programs.

Key Responsibilities:
  • Deliver both group and individual support to students across assigned locations, which may include:
    • Helping students identify their career and educational aspirations by providing insights into post-high school options, including institutional choices and financial aid.
    • Advising on college entrance examinations (such as ACT and SAT) and offering resources for test preparation; assisting with registration and providing fee waivers.
    • Facilitating access to admission and financial aid applications, including waivers for fees where applicable.
    • Guiding students through the financial aid process, including FAFSA assistance, reviewing financial aid award letters, and helping with necessary documentation.
    • Encouraging students to explore and apply for scholarship opportunities.
  • Recommend eligible high school seniors for scholarships, ensuring all required documentation is collected and entered into the student database.
  • Organize and supervise multi-day college and business visits for students.
  • Participate in all training sessions and team meetings.
  • Support various College Now events and initiatives as needed.
  • Maintain accurate records of services provided, including demographic information and interactions in the student information system.
  • Uphold strict confidentiality regarding student records.
  • Stay informed about program grant guidelines.
Qualifications:

Required Skills:
  • Exceptional organizational abilities and capacity to manage multiple tasks in a dynamic environment.

  • Detail-oriented with excellent communication skills, both verbal and written.
  • Able to work independently as well as collaboratively within a team.
  • Demonstrates sound judgment and supports administrative and financial functions.
  • Adaptable to changing priorities and schedules.
  • Must have reliable transportation for travel to various locations.
  • Ability to carry up to 10 pounds of materials, including a laptop and advising resources.
Technical Skills:
  • Proficient in Microsoft Office 365 applications (Outlook, Word, Excel, PowerPoint, Teams).
  • Familiarity with virtual meeting platforms such as Zoom and Google Meet.
  • Experience in data entry and reporting on advising services.
Experience:
  • Experience working with adolescents and strong interpersonal skills are essential.
  • Teaching or tutoring experience in educational settings is advantageous but not mandatory.
  • Fluency in Spanish is a plus for certain assignments.
Education:
  • A bachelor's degree is required, along with at least one year of experience in college access or financial aid, or one year of experience in teaching adolescents.
