Role Overview

The Executive Assistant is responsible for a range of administrative functions, providing essential support to designated executives, locations, and teams. This role requires independent judgment and effective business acumen to plan, prioritize, and manage a diverse workload in a dynamic setting. The ideal candidate will be adaptable, proactive, and resourceful, maintaining confidentiality and delivering a high standard of customer service.

Key Responsibilities

  • Oversee calendars, manage office space bookings, and coordinate travel arrangements for assigned executives.
  • Handle time and expense reporting for executives.
  • Assist in the creation of client deliverables, including reports.
  • Support client engagement processes, including new client onboarding and vendor due diligence.
  • Draft, format, and proofread business communications and presentations.
  • Coordinate internal and external events and meetings, including logistics and materials preparation.
  • Utilize internal networks to effectively manage workflow.
  • Act as a liaison for clients, managing communications and follow-ups.
  • Participate in the onboarding of new administrative staff, providing training and support.
  • Assist with Continued Professional Education (CPE) initiatives for assigned teams.
  • Undertake additional duties and special projects as required.

Qualifications

  • High School Diploma or GED is required.
  • A minimum of 1 year of relevant experience is required; experience in a professional services setting is preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
  • Demonstrated commitment to delivering exceptional client service.
  • Strong verbal and written communication skills, with the ability to convey complex issues clearly.
  • Excellent organizational skills, capable of prioritizing tasks in a fast-paced environment.
  • Ability to collaborate effectively across departments while building trusted relationships.
  • Meticulous attention to detail and a commitment to producing accurate work promptly.
  • Ability to analyze problems critically and devise creative solutions.
  • Experience handling sensitive situations and confidential information with discretion.
  • Willingness to work overtime as needed.
  • Ability to travel occasionally, approximately 5% of the time.
