Position Overview

Project 562 is in search of a highly capable, enthusiastic, and collaborative individual to provide support to the Creator and Director in the capacity of an Executive Assistant.

This role is structured as a full-time position (40 hours/week) with the potential for flexibility in work arrangements, including a combination of in-person and remote work. This flexibility is designed to attract the right candidate, allowing for a personalized approach that aligns with individual interests and skills.

Additional valuable skills may include experience in public relations, social media management, video editing, graphic design, web design, grant writing, and proposal development.

This position combines the responsibilities of a high-level executive assistant with those of a production coordinator and an exceptional office manager, ensuring that numerous tasks are executed seamlessly.

Key Responsibilities:

  • Oversee intricate calendar management and scheduling
  • Coordinate travel arrangements and manage expenses
  • Monitor and facilitate the completion of essential deliverables
  • Organize and plan production schedules for photo shoots
  • Assist in document design, writing, editing, and formatting as required
  • Act as a liaison for direct reports
  • Coordinate exhibitions and gallery events
  • Occasional travel for exhibition openings
  • Conduct online research
  • Facilitate team coordination
  • Manage the shipping and receiving of exhibition materials
  • Engage in social media, video editing, or assistant producing as per skills
  • Foster a positive work environment and encourage team enjoyment

Potential Additional Responsibilities:

  • Support as a production assistant during shoots
  • Provide assistance in editing tasks
  • Help manage projects in an Account Executive capacity

Basic Qualifications:

  • 4+ years of experience supporting senior leadership
  • Proficient in technology, particularly Microsoft Outlook, Word, Excel, Prezi, Photoshop, and Lightroom (video editing skills are a plus)

Preferred Qualifications:

  • Bachelor's degree; experience in Finance, Creative Writing, or Project Management is advantageous
  • High integrity and discretion in managing confidential information

  • Capable of independently managing administrative details while keeping team members informed
