Job Summary

We are seeking an experienced Administrative Coordinator to join our Anatomic Pathology team at The University of Chicago Medicine. The successful candidate will provide administrative support to senior lab leaders, manage calendars, coordinate meetings, and maintain personnel files.

Key Responsibilities
  • Manage calendars for the Laboratory Management team and Medical Directors, prioritizing meeting tasks and resolving conflicts.
  • Answer phone calls, relay accurate messages, and notify senior leaders of high-priority issues.
  • Complete contracts, word processing, slide decks, and spreadsheet documents in final form, often confidential in nature.
  • Manage contracts for education affiliate agreements, including renewals and legal review.
  • Coordinate group meetings, communicate with leaders, and ensure participation.
  • Process access requests and other tasks for onboarding new management staff.
  • Maintain the Clinical Laboratories webpage and collaborate with lab leaders to obtain updates.
  • Order office supplies and perform other administrative tasks as requested.
Requirements
  • High School Diploma or equivalent.
  • Minimum four years of increasingly responsible administrative or secretarial experience.
  • Strong written and verbal communication skills, including use of spreadsheet software.
  • Ability to plan, organize, and work on various tasks concurrently.
  • Strong interpersonal skills and ability to interact with customers and internal stakeholders.
Preferred Qualifications
  • Associate's Degree or higher.
  • Secretarial experience in complex healthcare, industrial, or legal settings.
