Job Summary

We are seeking an experienced Administrative Assistant II to join our Anatomic Pathology Lab team at UChicago Medicine. As a key member of our team, you will provide administrative support to senior lab leaders, including Medical Directors, Associate Professors, and Lab Leadership. Your primary responsibilities will include managing calendars, prioritizing meeting tasks, and resolving conflicts. You will also be responsible for answering phone calls, relaying accurate messages, and notifying senior leaders of high-priority issues. Additionally, you will complete a wide variety of contracts, word processing, slide decks, and spreadsheet documents in final form, which may require detailed proofreading and grammatical changes for accuracy. If you have a strong background in administration, excellent written and verbal communication skills, and the ability to work independently and professionally, we encourage you to apply for this exciting opportunity.

Key Responsibilities
  • Manage calendars for the Laboratory Management team and Medical Directors
  • Prioritize meeting tasks and resolve conflicts
  • Answer phone calls and relay accurate messages
  • Notify senior leaders of high-priority issues
  • Complete contracts, word processing, slide decks, and spreadsheet documents in final form
  • Manage contracts for education affiliate agreements
  • Coordinate group meetings and communicate with leaders and/or their assistants
  • Process access requests and other tasks for on-boarding new management staff
  • Maintain Clinical Laboratories webpage
  • Order office supplies
  • Continuously develop and improve administrative skills
Requirements
  • High School Diploma
  • Minimum four years of increasingly responsible administrative or secretarial experience
  • Strong written and verbal communication skills
  • Ability to plan, organize, and work on various tasks concurrently
  • Ability to independently prioritize multiple tasks in a professional manner
  • Ability to independently and professionally interact with customers, internal and external to the Hospital
Preferred Qualifications
  • Associate's Degree
  • Secretarial experience in complex healthcare, industrial, or legal setting
