Job Overview

Position Summary:

The Senior Administrative Coordinator plays a crucial role in supporting the Chief Regional Officer (CRO) by managing a variety of administrative tasks. This includes composing official correspondence, organizing schedules, and coordinating meetings, events, and travel arrangements.

Key Responsibilities:

  • Draft and dispatch correspondence on behalf of the CRO.
  • Organize and schedule:
    • Meetings as directed.
    • Corporate events such as celebrations and parties.
    • Travel itineraries.
    • Quarterly and semi-annual Executive Council meetings.
    • Departmental lunches and other significant gatherings.
  • Record meeting minutes and track action items.
  • Conduct research on various topics to support reports and meetings, focusing on economic, political, and employment trends across North and South America.
  • Assist with miscellaneous projects as assigned by the CRO and management, which may include:
    • Drafting announcements regarding company policies.
    • Preparing letters of invitation for colleagues requiring visas.
    • Maintaining patent and trademark documentation.
  • Prepare expense reports for the CRO.
  • Manage filing systems and correspondence records.
  • Lead company functions such as holiday parties and annual meetings.
  • Submit and update monthly reports for various departments.
  • Oversee building maintenance and assist the executive team with calendar management.
  • Coordinate travel arrangements for executives and teams, including flights and accommodations.
  • Provide data for production reports and dashboards, including metrics on safety and quality.
  • Sort and manage daily mail.

Qualifications:

The ideal candidate will possess:

  • Proficiency in English grammar, both written and verbal.
  • Excellent organizational and interpersonal skills.
  • Strong analytical capabilities with the ability to manage multiple tasks effectively.
  • Intermediate to advanced skills in PC applications, particularly Office 365 (Teams, OneNote, Word, Excel, PowerPoint, To Do, OneDrive, SharePoint).
  • A quick learning ability and adaptability to changing demands.
