Job Overview

Position Summary:
- This role reports directly to the Chief Executive Officer or their designated representative, providing essential support in various administrative tasks while coordinating departmental activities and information flow. In certain instances, this position may involve supervising other clerical personnel.

Key Responsibilities:
- Organize, plan, and manage daily operations for the Department Head and junior clerical staff as needed.
- Assess and prioritize visitor inquiries and other communications, directing them appropriately.
- Conduct research, engage in policy discussions with department leaders, and maintain comprehensive departmental manuals, including policies, procedures, and job descriptions.
- Compile departmental statistics related to employee and patient incidents and assist in the preparation of analytical reports.
- Schedule and coordinate all meetings and appointments effectively.
- Prepare and manage purchase requisitions, personnel action forms, and work orders for office maintenance, ensuring adequate supply levels.
- Act as a liaison between the supervisor and other hospital personnel.
- Maintain confidential departmental records and staff information.
- Handle correspondence, including drafting letters and reports.
- Manage phone communications and route calls to the appropriate individuals.
- Prepare agendas and take minutes during meetings.
- Organize logistics for meetings, including room arrangements and catering services.
- Execute various administrative tasks such as filing, typing, copying, binding, and scanning.
- Perform additional duties as assigned.

Required Skills & Qualifications:
- Proficient in English communication, both written and verbal.
- Competent in Microsoft Office Suite.
- Strong interpersonal abilities.
- Capable of multitasking and maintaining organization.
- Proficient in Word, Excel, and PowerPoint applications.
- Typing speed of at least 50 words per minute.
