Job Summary

We are seeking an experienced Administrative Coordinator to join our team at NYC Health + Hospitals. The successful candidate will provide administrative support to the Director of Community Affairs/Spiritual Care, coordinating and administering primary operational issues related to the Department of Spiritual Care.

Key Responsibilities
  • Administrative Support
    • Coordinate and maintain the scheduling calendar for the Director of Community Affairs/Spiritual Care, including scheduling administrative meetings with clinical and administrative Department Heads, Directors of Service, Nursing Administration, and external agency representatives.
    • Manage the Spiritual Care Clinical Pastoral Education (CPE) programs, including tracking student applications, admissions, and tuition processes, scheduling interviews, and communicating with participants and inquiries.
  • Office Management
    • Coordinate office requirements, including preventive and corrective maintenance of equipment, and contact appropriate departments to request action.
    • Complete all required forms necessary to have work done, and circulate forms for required signatures.
  • Data Entry and Reporting
    • Maintain ongoing Spiritual Care data entry.
    • Assist the Director of Community Affairs/Spiritual Care with the Department's monthly statistical report.
  • Supply Management
    • Order and receive supplies needed throughout the Spiritual Care department, process invoices, and purchasing requisitions.
    • Maintain Spiritual Care department spiritual literature supplies and inventory listing.
  • Communication and Crisis Intervention
    • Typing of all departmental correspondence, including letters, forms, spiritual event flyers, policy and procedures, emails, schedules, etc.
    • Answer phones involving patient and staff requests, and assist the Director of Community Affairs/Spiritual Care with crisis intervention when needed.
Requirements
  • A Baccalaureate Degree from an accredited college or university in Business Administration, Community Health, Psychology, or a related discipline.
  • One year of full-time experience in a supervisory or administrative capacity in business management systems, general administration, healthcare, and medical/patient systems administration.
  • A satisfactory combination of education, training, and experience.
