Job Overview

POSITION SUMMARY

The Clinic Operations Supervisor plays a crucial role in advancing the mission of Christ Community Health Services by managing the daily functions of one of our healthcare facilities in collaboration with the Physician Leader. This position entails overseeing a diverse team of support personnel, ensuring the availability of necessary supplies, maintaining the clinic's physical environment, addressing challenges, advocating for both patient and staff needs, and facilitating effective communication to meet operational goals.

KEY RESPONSIBILITIES

1. Collaborate with the Physician Leader to:

  1. Organize and coordinate the utilization of space and facility resources, including site leadership meetings and other operational activities.
  2. Oversee support staff, including recruitment, onboarding, training, performance evaluation, motivation, and disciplinary actions aligned with corporate values.
  3. Manage day-to-day operations, encompassing staff and patient scheduling, registration, financial counseling, nursing support, and patient care management.

2. Maintain an efficient operational environment by:

  1. Streamlining patient flow to reduce delays and cycle times.
  2. Completing routine and occasional tasks promptly and accurately.
  3. Monitoring reports and data to ensure operational quality and adherence to established processes.
  4. Addressing and resolving staff issues or unusual situations requiring managerial intervention.
  5. Assisting with various functions as necessary to ensure successful completion of activities.

3. Act as a liaison between the site leadership team and staff, as well as the COO and administrative bodies, ensuring effective communication.

4. Ensure a conducive environment for care by managing equipment, supplies, and the cleanliness and organization of all clinic spaces. Collaborate with the Chief Administrative Officer to facilitate on-site evaluations and inspections, maintain necessary records, and ensure compliance with relevant regulations.

5. Work alongside other site and centralized leadership to implement and monitor new and revised processes, providing support to other clinics as needed.

6. Advocate for patient needs by assisting with customer service inquiries, complaints, external care coordination, and incident management.

Perform additional duties as required to support the mission of Christ Community Health Services.

POSITION REQUIREMENTS


• Strong interpersonal and mediation skills to effectively lead and collaborate with a diverse team.


• Excellent organizational skills to manage a high volume of work systematically.


• Initiative and creativity for problem-solving and proactive improvement of clinic operations.


• Ability to embody the values of Christ Community Health Services consistently.


• Bilingual candidates may be preferred in certain locations.

  • Education: College degree.
  • Experience: A minimum of three to five years in a primary care environment. Clinical and/or practice management experience is advantageous.
  • Licenses or Certifications: Registered Nurse preferred; Licensed Practical Nurse acceptable.

MENTAL REQUIREMENTS

Level 1 – Requires moderate concentration and attention. Once learned, tasks can be performed with minimal oversight.

Level 2 – Requires high concentration intermittently and normal attention. Tasks will necessitate consistent attention to manage recurring variables.

X Level 3 – Requires a high level of concentration and attention intermittently. Tasks may involve multiple steps and variables, necessitating close attention to detail.

PHYSICAL REQUIREMENTS

Office environment and clinic setting with potential exposure to contagious infections; low to moderate risk of injury.
