The Administrative Support Specialist II role is situated within a designated unit, operating on a standard shift schedule.

The Administrative Support Specialist II functions under the direct oversight of the Unit Nurse Manager, serving as the primary administrative support for the assigned unit.


Key Responsibilities:

Duties include, but are not limited to:

  • Maintaining medical records, managing phone communications, and processing aftercare documentation.
  • Preparing duty rosters, handling billing for appointments, and compiling reports for morning briefings.
  • Conducting chart audits upon patient discharge or transfer and preparing records for the Medical Records Department.
  • Assisting with travel arrangements and ordering necessary supplies for the unit.

Works under moderate supervision, with some discretion in determining the urgency of communications and when to interrupt meetings for important messages.

Familiarity with the schedules and contact information of licensed professionals within the unit is essential.

Proficiency in using a headset is required as mobility may be necessary, and the main unit phone must be answered promptly.

Competence in utilizing computers, Microsoft Office Suite (Excel and Word), and various office equipment is mandatory. Training in PMAB/TIPS is also required, along with compliance with the dress code of Nursing services.

Essential Job Functions:
1.

Regular attendance is expected, with potential requirements for specific shift schedules, rotating shifts, or overtime as per agency policy, along with other assigned duties.

2. Maintains databases related to various operational metrics, assists with data entry for infection control, and prepares monthly reports for management.
3. Processes and organizes correspondence for nursing leadership and related staff.
4. Coordinates travel arrangements and handles registrations for conferences on behalf of nursing personnel.
5.

Develops databases using Microsoft applications and populates them with relevant data to generate comprehensive reports.

6. Utilizes Microsoft Office for document creation and report generation.
7. Maintains records as requested by supervisors.
8. Engages with personal computers for data inquiries and entry.
9.

Additional responsibilities may include participating in disaster response efforts or supporting continuity of operations, which may require flexible scheduling.
