Position Title: Real Estate Operations Coordinator
Reports To: Real Estate Manager or Senior Portfolio Manager
FLSA Status: Exempt, Full-Time

Summary:

The Real Estate Operations Coordinator supports the Real Estate Manager or Senior Portfolio Manager in the daily management of the assigned property portfolio. This role encompasses essential responsibilities in client relations, property management, construction oversight, lease administration, and financial analysis.

Key Responsibilities:

PROPERTY MANAGEMENT:

• Aid in the daily administration of the assigned portfolio.

• Supervise contracted service providers and property personnel to ensure compliance with contract terms and quality standards. Address service issues promptly.

• Conduct property evaluations as directed by the Real Estate Manager or Senior Portfolio Manager, ensuring all areas are presentable for potential clients.

• Collaborate with Project Managers on property and tenant construction initiatives, ensuring adherence to relevant regulations and specifications.

• Foster and maintain professional relationships with tenants and vendors, addressing concerns and escalating issues as necessary.

• Draft communications for tenants regarding lease obligations, rent collection, and other relevant matters. Maintain familiarity with all essential property documentation.

• Work alongside the Real Estate Manager and Senior Portfolio Manager to uphold lease agreements.

• Process maintenance requests and generate work orders or service agreements as needed, ensuring all requests are fulfilled and documented.

• Coordinate tenant move-in and move-out procedures, including record updates and communication of necessary information.

• Ensure compliance with insurance requirements for tenants and vendors.

• Maintain and update property information in the database and physical files.

• Assist with after-hours property inquiries and emergencies.

• Perform property filing and documentation as required.

FINANCIAL MANAGEMENT:

• Contribute to the development of annual operating and capital budgets in line with established guidelines.

• Review and confirm all budgeted expenditures, ensuring timely project completion within budget constraints.

• Assist in gathering tenant sales reports as stipulated in lease agreements.

• Support the preparation of monthly and quarterly financial reports, including management narratives and budget variance analyses.

• Verify invoice coding for each property according to the appropriate general ledger codes.

• Aid in the collection of overdue rents and fees, preparing necessary reports and notices as directed.

• Monitor and address any compliance or delinquency issues under the guidance of the Senior Portfolio Manager.

PROFESSIONAL STANDARDS:

• Uphold the highest level of professionalism in all interactions with tenants, clients, and service providers, demonstrating integrity and confidentiality.

• Complete all required deliverables for review by the Real Estate Manager or Senior Portfolio Manager in a timely manner.

• Mentor and support Property Assistants as needed.

• Perform additional duties as assigned.

Qualifications:

• A minimum of three (3) years of experience in commercial real estate management.

• A valid California Real Estate License (salesperson or broker) is preferred.

• A college degree is desirable.

• Maintain a professional appearance in accordance with company policies.

• Adhere to attendance policies and demonstrate punctuality.

• Exhibit professional etiquette in all interactions with colleagues and clients.

• Complete tasks accurately with minimal supervision.

• Demonstrate an understanding of complex lease agreements.

• Execute responsibilities according to departmental guidelines and timelines.

• Prioritize tasks effectively and manage multiple responsibilities under pressure.

• Analyze work processes accurately and efficiently.

Technical Skills:
Proficiency in Microsoft Word, Excel, Internet applications, and Outlook is required. Experience with Yardi software is a plus.

Physical Requirements:
The physical demands of this role include effective communication, operating office equipment, and remaining stationary for extended periods.
