About the Role

We are seeking a highly skilled and customer-focused Administrative Assistant to join our team. As an Administrative Assistant, you will be the voice of our company, providing superb customer service to our clients and helping keep our HVAC office running smoothly. Your primary responsibilities will include answering phones, scheduling with customers, and dispatching technicians.

You will also be responsible for entering and preparing work orders in our database, preparing billing and invoices, and handling collections. Additionally, you will follow up with incoming work orders and any emails. With pride, you will keep the office clean and organized. You will love that you get to interact with people every day and enjoy keeping busy.

Responsibilities

  • Provide exceptional customer service to clients via phone and in person
  • Answer phones, schedule appointments, and dispatch technicians
  • Enter and prepare work orders in our database
  • Prepare billing and invoices
  • Handle collections
  • Follow up with incoming work orders and emails
  • Keep the office clean and organized

Requirements

  • Customer service or office experience
  • Accurate date entry skills
  • Strong knowledge of Microsoft Word, Excel, and Google Docs

Two years of customer service and office experience are preferred but multiple factors will be taken into consideration. Do you have excellent verbal and written communication skills?
