Position Overview

Tacoma Community College is seeking a highly organized and detail-oriented individual to fulfill the role of Administrative Assistant 3 to the Associate Dean of Nursing. This position is essential for providing comprehensive administrative support within the nursing program.

The successful candidate will play a pivotal role in ensuring the smooth operation of the nursing department and assisting in the attainment of both academic and administrative objectives.

The ideal candidate will demonstrate a commitment to collaboration with faculty, staff, and administrators to enhance student access and support.


Key Responsibilities
  • Provide confidential administrative assistance to the Associate Dean, including managing schedules, organizing meetings, and coordinating travel.
  • Act as the primary liaison for internal and external communications, maintaining professional correspondence on behalf of the Associate Dean.
  • Utilize discretion and diplomacy to interact effectively with a diverse range of stakeholders.
  • Represent the nursing program in various meetings and college activities.
  • Coordinate and develop quarterly class schedules using campus software, ensuring alignment with course offerings.
  • Prepare faculty contracts in collaboration with Human Resources.
  • Maintain organized records related to the nursing program, including budget tracking and accreditation materials.
  • Assist in the onboarding and offboarding processes for faculty and staff.
  • Support the planning and execution of departmental events and special projects.
  • Participate in professional development and training opportunities.

Qualifications

Minimum Qualifications:

  • High school diploma or equivalent.
  • Experience in administrative support or office practices.
  • Proficiency in Microsoft Office Suite.

Preferred Qualifications:

  • Experience with PeopleSoft software.
  • Supervisory experience.
  • Experience in budget management.
  • Prior administrative experience in an academic or healthcare environment.

Conditions of Employment

Successful completion of a criminal history background check is required prior to employment.
