Project Coordinator/Construction Liaison

JOB OBJECTIVE
The primary role of the Project Coordinator is to oversee daily project management activities in collaboration with the project team and manage the refrigeration and energy installation agreements.

The Project Coordinator directs both internal and external teams from project initiation through to successful execution and finalization.

KEY RESPONSIBILITIES
• Lead initiatives for expansions, renovations, and specialized projects while maintaining operational continuity.
• Engage with key stakeholders to clarify project objectives and coordinate contractor teams to meet contractual obligations.
• Maintain daily communication with store leadership to ensure operational safety, cleanliness, and adherence to renovation protocols.
• Facilitate weekly project meetings with the team and document outcomes in a structured format.
• Review and authorize contractor payment requests based on project milestones.
• Create and revise project timelines and phasing strategies to support the Project Manager during both preconstruction and ongoing construction phases.
• Organize and maintain project documentation, including schedules and records.
• Collaborate with architects, engineers, and consultants to ensure timely responses to requests for information (RFIs) and project support needs.
• Manage construction contracts and agreements related to refrigeration and energy management systems.

COMMUNICATION AND REPORTING
• Provide regular project updates and maintain open lines of communication with stakeholders regarding project milestones, issue resolution, and budget management.

ON-SITE OVERSIGHT
• Conduct regular site inspections to monitor compliance with plans, specifications, and safety regulations.

TRAVEL REQUIREMENTS
• Willingness to travel up to 90% of the time.

QUALIFICATIONS
• A degree in Project Management, Engineering, or Architecture is advantageous.
• Specialized experience in Refrigeration/HVAC and Energy Management is preferred.
• Proficiency in collaborative technology (Microsoft Office, SharePoint, iCloud) and project management software is essential.
• Comprehensive understanding of construction documentation and plans.
• Ability to conceptualize, document, present, and implement innovative solutions.
• Strong problem-solving skills and the ability to drive decisions collaboratively with project teams and stakeholders.
